“Techenergoservice 2014” LLP is a company that is engaged in operational and operational maintenance of electrical substations, overhead power lines of a voltage class of 35 kV and higher. Since 2014, it has been a leader in the provision of technical, maintenance and repair services, overhauls electrical equipment of lines and substations, power transformers, engineering support for the new construction of energy facilities.
The desire to maintain a leading position in the market and use advanced technologies to improve the quality of the entire enterprise was the main reason for finding a suitable system for automating internal business processes and electronic document management.
To implement this project, a number of Kazakhstani and foreign software products were analyzed, and, on the basis of a tender, the Almexoft software product with a built-in AlmexBPM business process automation module, an online editor, and native mobile applications was selected. The implementation of the system, analysis and optimization of current business processes and setting up chains of approval and execution of documents were carried out by Almexoft Kazakhstan employees in a qualified manner and in the shortest possible time.
The extensive functionality of the system made it possible to implement the following tasks:
- Optimize and bring to a unified form all business processes of the company related to office work;
- Ensure transparent document flow, registration of incoming / outgoing documents, correspondence, personnel documentation;
- Generate the necessary reports: a report on the registration of incoming / outgoing documentation, a report on the implementation of tasks and instructions;

The most significant results of the implementation of Almexoft:
- The time of processing and approval of documents, delivery to its addressees was reduced by 80%.
- 10% reduction in the company’s overall costs associated with sending documents (printing costs, courier services);
- Significant reduction in paper workflow, which solved the problem of loss of documentation;
- Thanks to Almexoft, the main problem of the company was solved, which was associated with a long chain of document approval due to the location of the company’s representative offices in different cities;

- Efficient and fast search for electronic documents in a single system within the role-based policy and security regulations.
Cooperation with Almexoft and the introduction of the Almexoft business process automation and electronic document management system made it possible to solve the problems of business growth and scaling, and to achieve a number of strategic goals of the top management of Techenergoservice. The implementation of the project has had an impact on improving the efficiency of both ordinary employees and the company’s management and reducing the company’s administrative costs.
