The meeting management unit is additional software designed for a wide range of automation of
the deliberative process in the collegiate bodies of the company.

Through the use of the business process editor built into the Almexoft platform, the module
allows you to build the process of organizing online meetings in such a way that it fully meets
the needs of the company.

A typical process can have some optional stages:

The questions gathering for the meeting

Questions can be submitted either directly to the secretary to be included in the agenda of the meeting, or in the form of separate documents with their own complex structure of preliminary formation, coordination and distribution.

Formation of the agenda

Helps to automate the distribution of issues between various regular meetings of one collegial body, to select the most important issues for consideration. At this stage, you can also clarify the composition of the participants in a particular meeting, including invited persons.

Voting for the agenda

As part of this stage, the meeting participants are given the opportunity to vote for the selected issues on the agenda.

Preparation of draft decisions

This stage is intended to formulate draft decisions on
each of the issues on the agenda of the meeting, as well as possible events

Meeting online

At this stage, you can vote on each individual issue or draft decision. The system allows the responsible user to accept or reject questions without consideration, and this information is necessarily recorded. Simultaneously with voting, responsible users can generate a list of activities to be executed

Stage of forming the protocol

At the end of the meeting online session, the stage of
forming the protocol is started. The meeting management unit creates a protocol in the form of a separate instance of a business process (document). Protocols can be signed with electronic digital signatures. It’s possible due to the fact that the meeting management module is seamlessly integrated with the Almexoft platform

Decisions/events execution

This unit was designed to carry out the corresponding list of approved actions. Individual activities can be performed both in the form of instructions for the stage of execution of the protocol, and in the form of separate processes that are automatically generated as child documents of the meeting protocol.
